Hotel rules
General Terms and Conditions
These General Terms and Conditions for the provision of hotel services (hereinafter – the Terms) set out the procedure and conditions for the provision of services by UAB "Via Unica" Hotel "Romantic", located at Kranto g. 24, Panevėžys (hereinafter – the Hotel).
1. Hotel Services
"Hotel Services" refers to the Hotel's guest accommodation and catering services, as well as conference and/or other event venue rental and organization services.
2. Reservation Submission and Confirmation Procedure
- Reservations are submitted via email.
- When submitting a reservation, the guest indicates the number of guests, names, room category, arrival/departure dates, and payment method.
- If an agreement has been concluded, the reservation must include the agreement code.
- If the code is not specified, services may not be provided under contractual terms.
- Upon receiving a reservation, the Hotel sends a proforma invoice for advance payment. Confirmation is sent upon receipt of payment. A paid reservation is considered guaranteed.
- Unguaranteed reservations are held until the specified deadline; after which the Hotel has the right to cancel them.
- Upon arrival, guests may be asked to pay a €100 deposit (cash or card).
3. Service Agreement
- The agreement is considered concluded when the advance payment is made and/or the reservation is confirmed.
- An oral agreement is valid only upon written confirmation.
- The agreement supersedes previous agreements.
- The invalidity of one clause does not nullify the validity of other clauses.
4. Reservation Cancellation and Penalties
4.1 Individual Guests
Reservations can be canceled without penalty up to 2 days before arrival. Later – payment is made according to the terms.
4.2 Groups (10 or more rooms)
- Cancellation 30/60/90 days in advance (depending on the number of rooms) – no penalty is charged.
- Cancellation later: up to 25–50% of the total amount.
- No-show – 100% of the total amount.
4.3 Conferences and Events
- Cancellation ≥7 days in advance – no penalty.
- Cancellation 3–7 days before the event – 50% of the amount.
- Later than 3 days in advance or no-show – 100% of the amount.
5. Liability and Storage of Items
- Storage of items is regulated by Article 6.865 of the Civil Code of the Republic of Lithuania.
- Guests are obliged to compensate for damages caused by their fault.
- The guest is responsible for safety when using the services of the wellness center.
- Children under 12 years of age are prohibited from using exercise equipment; 12–16 years of age – only with adult supervision.
- In case of breach of contract, the hotel may terminate it unilaterally.
6. Force Majeure
Liability is regulated by Article 6.212 of the Civil Code of the Republic of Lithuania.
7. Check-in and Check-out Times
- Check-in from 15:00, check-out until 12:00.
- Check-out before 18:00 is charged at 50% of the price; after 18:00 – 100%.
- Additional guests – for an additional fee.
8. Prices and Payments
- Prices and payment terms are published on the website www.romantic.lt and in official advertisements.
- Payment by cash, card, or bank transfer.
- Unused services are not reimbursed.
- Prices may be changed in accordance with the procedure established by law.
9. Other Conditions
- Left-behind items are stored for 3 months.
- Bringing or using catering from other companies at events is prohibited.
- Making noise is prohibited from 24:00 to 6:00.
- Bringing animals must be agreed upon, a €30 fee per animal applies.
- A dress code (smart casual) applies in the restaurant during dinner.
- SPA procedures can be canceled without penalty ≥3 hours before the procedure (or ≥12 hours if special materials are used).
- Disputes are resolved through negotiations, failing which – in court according to Lithuanian laws.
- Complaints can be submitted to the State Consumer Rights Protection Authority (VVTAT) or on the ODR platform.
- Guests' personal data is processed in accordance with Lithuanian laws; consent can be withdrawn without consequences for receiving services.
Upon registration, the guest fills out a registration card and presents a personal identification document. The Hotel may verify the accuracy of the data and payment methods.
